Terms and Conditions

When you make a Booking you enter into a contract, as detailed in the many clauses set out below. The booking is the subject to these terms & conditions and any other specific booking conditions.

By making a booking with NorfolkVineyardRetreats you then agree that: 

* You have read these Terms and Condition and that you agree to be bound by all of them.

* The term ‘Named booking person’ refers to the person who made the initial booking and who is the sole person responsible for checking all information made on the booking, for paying for the whole balance of the booking, for paying for any losses or damage caused by them or any person on the booking and for any consequent conversations, amendments or cancellations made to the booking.

* The person who makes the booking will be the person responsible for the whole booking – they are the ‘named booking person’. This named booking person will then be the person responsible for paying the deposit and the full final balance and for making any amendments and/or cancellations. If there are any additional payments which are agreed you will also be responsible for settling these charges. The named booking person on the booking also accepts that all of these terms and conditions are followed by all other persons on the booking and who enjoy a stay as part of this single booking. 

* the named booking person must be older than 18 years old and that all persons part of the party are either over 18 years of age or are children who are under 18 and are part of the same family or related to the family. All party members under 18 years of age must be declared as part of the booking when the booking is made and the responsibility of anyone under 18 is from the named booking person. 

* The website www.norfolkvineyardretreats.co.uk – has an online booking system which allows all subsequent guests to make all bookings as part of a 24 hour a day operation. To ensure a booking is made we ask you to pay an initial 25% deposit. However if the the booking is within 8 weeks of the specified check in date then we ask that 100% payment of the booking is made. This booking will then be subject to the full cancellation policies which are outlined in the clauses set out below.

A. Booking outlines and subsequent payments:

A.a To confirm your dates and booking, you must pay an initial 25% non-refundable deposit as required (or final and full payment if the dates of the booking are within 8 weeks of the date of check-in). The 25% deposit is non-refundable but we will of course do all we can to make an alternative booking if things change and you allow us reasonable time and notice to make the required alterations for you.  Be aware the costs are incurred in time, management of payments/dates and fee from the moment a booking is made.

A.b The Booking will be fixed and confirmed at the point of the booking. Your dates will be automatically reserved for you and your party and the calendar blocked out from any other bookings. Please note – on very rare occasions when an online system is working sluggishly then there could be a moment where 2 bookings are entered into the system at the same time and from 2 different parties. When this happens then we apologise in advance as this is completely out of our hands. Each main booking person will be notified and action will be taken to sort this out as soon as possible. We would ask for patience at this time. We will aim to send a confirmation email for each booking within 24 hours. This email will show the details of the booking and of payments made and/or due. If this email is not received by you then it is your responsibility to send an email (see address below) to double check all booking requirements have been made. If a confirmation email is not received then please do not assume the booking is made yet. Please ensure you check all the information on the confirmation email is correct; including the check in date, the check lout date and the price quoted as changes cannot be made after this time. 

A.c If your booking dates lies outside the 8 week full payment period and when you have paid the initial 25% deposit then we will ask that the full balance payment be made 8 weeks in advance of the check in date. A reminder email to remind you of this payment will be sent 8 weeks before your booking date. We kindly ask that you make the final balance payment on or before the 8 week cut off period. If payments are late then we ask for you to email us to let us know. Late payments are a hassle and might lead to the booking being cancelled without a refund of the initial 25% deposit, but we of course are very much hoping that this will not ever happen. Please be aware for any foreign currency payments the original quote and price, we will not be able to be guaranteed if the conversion rate alters between the time of booking and the time of payment.

B. Guest cancellation procedures:

B.a If at anytime after making the initial booking then the lead booking person only can make changes (no other person can make changes to this booking at any time). If the named booking person has to cancel or change the booking then we kindly ask that this request is made by email and we will consider the request and respond as soon as we can. We of course understand that things do change and alterations have to be made, so will do what we can to ensure fairness is adhered to at all times. Any changes which are agreed must then be adhered to so please ensure you keep the correct new information sent. Whilst we will always try do our best to help, we sadly cannot always guarantee such requests will be met on all occasions.

B.b Please note – cancellation by the main named booking person at any time will result in your non-refundable 25% deposit being lost.

B.c We are sorry and hope you understand that all bookings made by you cannot be altered and are non-refundable within 8 weeks of the check in date, which is outlined at the start of the booking process. If you need to cancel your booking within 8 weeks, the total cost of the accommodation including the deposit will be forfeited. Cancellation should always be in writing the email listed.

B.d If there is a need to cancel the booking which is 8 weeks or more in advance of the check in ate then the initial 25% non-refundable deposit will be lost. If you made a full payment for you holiday at the start of the booking process then the non-refundable 25% deposit will be subtracted from the full payment made and the rest will be refunded minus a 10% administration fee. Am example – full payment of £1000 with a £250 deposit means you will receive £650 refund (10% of £1000 is £100. £100 + £250 is £350 so subtracted from £1000 leaves a refund of £650).

B.e All cancellation terms as outlined in these Terms and Conditions apply to any times where extreme weather event prevents you and your party from reaching your holiday destination, taking your full or part of your holiday, or indeed finishing the holiday in the outlined dates booked. We therefore hope that and strongly advise you have travel insurance, which covers these issues as we are unable to cover any losses in these events. You are strongly recommended to take out personal travel insurance for all members of your party for holidays in the UK, including for illness and cancellation due to Covid-19. It is your responsibility to ensure that the insurance cover is adequate for your needs, including cancellation and curtailment. 

B.f In the event of the holiday place you have booked becoming unavailable due to fire or flooding (or any other reason which is outside the control of the owners) the we will notify you as soon as this happens. If this rare occurrence happens then you will be give a full refund of all monies paid or the opportunity to rebook at a later date.

B.g If for whatever reason you are unable to see through your holiday on the dates stipulated then please let us know as soon as possible. If you fail for whatever reason to check-in on your date then your booking will be lost and cancelled without a refund.

C. Booking changes made by the main booking person (only):

C.a any changes to your booking can only be made more than 8 weeks before your arrival and check in date. Any changes from this ate will be treated like a cancellation has been made which will lead to no refund as laid out in these terms and conditions.

C.b Where we can will do all we can to make adjustments to your booking and to show goodwill and fairness where it can be done. If we can fulfil a request to change your booking, any differences in price as a result of the change will have to be paid immediately by you. Any changes are subject to administration fee of £50.

D. Holiday insurance made by the named booking person:

As outlined above – the main named booking person is strongly advised to have their own personal travel insurance for all members of your party for all UK holidays. It is the responsibility of the holiday maker to ensure that the insurance cover is appropriate and adequate for all your personal and up to needs, including cancellation and/or curtailment for any reasons known.

E. Changes made by us the owners due to circumstances out of their control or reasons that my not be revealed:

If there is a need to change or cancel your booking for any reasons made known or not then we will let you know as soon as we know. Your rights will not be altered and you will be given a full refund of all monies made to us without loss. We will not be subject to any losses you may have occurred due to any other reasons related to this holiday Eg – holiday insurance, travel costs, items for holiday costs and all permeations of this.

F. Complaints or problems:

We welcome all feedback. If on those very rare occurrence you would like to make a complaint or have a problem we aim to resolve this for you as soon as possible and to a satisfactory outcome. If at anytime from the moment you start your holiday (when you enter the property) to the moment you leave (when you leave the property) you feel we need to know about an issue then it is the responsibility of the main booking person to contact us as soon as possible. You should then allow us (the owners) to be able to sort out any issue within a reasonable time frame (no more than 24 hours from the time it is reported or more time if it requires a professional person to be booked into to rectify the issue Eg a qualified electrician, plumber or equivalent person of repute). If no reporting of an issue is made then the owners cannot and will not be responsible for any loss or curtailment or enjoyment of your holiday.

G. The Responsibilities of the main booking person and the whole party under this person:

G.a By making this booking you have entered into a contract with us the owners of the property. You and your party are therefore under a responsibility to behave at all times in the appropriate legal manner whilst staying at the property. No illegal activity of any kind will be allowed and/or tolerated.

G.b It is your responsibility to inform the us the owner of any damages or losses or to the property and/or material effects as soon as they happen. Please note that you will be liable to pay the for any damages or losses to the property or effects caused by you or a person in your party (reasonable wear and tear are more than acceptable). The damage deposit will be used to pay for any losses.

G.c When you leave the property we kindly ask that you leave the property by the check-out time specified (usually at 10am of your check out day) – non agreed late check outs are not permitted and could incur a late cleaning fee from our housekeeping company at a charge of £50.

G.d We also ask all guest at the property to leave the property as they found it – all rooms to be left tidy, furniture to not be moved, no washing up left in the kitchen and to all items put away where they were found, that the beds left made (do not strip the beds), used linens/towels to be left in a pile next to the bed or in the shower, the property to be locked and all keys to be left in the locked key safe. Any personal items which are left at the property can be posted back and cost for this service is £20 plus postage fees to be paid prior to posting – this cost is an administrative charge.

G.e If any guest behaves inappropriately or illegally (We the owner are responsible for making this decision as the owners and protectors of the property), the we reserves the right to ask the guest and all members of their party (at their discretion) to leave within a 60 minute timeframe from the original request. If this is before the end of the holiday time then so be it and this decision will result in the removal of all rights to any kind of monetary refund.

G.f We kindly ask that you adhere to the NO smoking, NO use of e-cigarettes, NO vaping, or lighting of candles at any time happens at any time inside our properties unless it is to light an indoor log burning stove. All these restrictions follow our strict fire safety rules and must be adhered to at all times.

H. Dogs at Vineyard cottage only. (no dogs or pets allowed at Vineyard cabin retreat):

H.a Please advise the owners before booking that you intend to bring a dog or dogs to stay at Vineyard Cottage. You must obtain the prior consent before taking any dogs to the property. An overall charge may be made by the for each dog and additional terms may apply, you will be notified of this at point of booking. Please check any additional terms by request.

11.3 Dogs should not be left alone or unsupervised in the property at any time during the  stay. For the safety and comfort of your dog we ask that the owner always exercise due care and diligence at all times, especially where the property is located near a road/livestock. We will not be responsible for anything whereby your dog or dogs have caused a problem at anytime during your stay to any third party person. The use of dog throws can be used to protect the sofa and we ask the owners to provide these. We ask that all owners of dog(s) keep them under control at all times and to be responsible for ensuring that they do not damage the Property, furniture/furnishings inside the property, vegetation on the farm/vineyard or any livestock on or near to the farm. You will be fully responsible and liable for any damage caused by your dog(s). All problems or damage must to be reported to the Owner immediately and at al times. Any additional cleaning required, that may incur an additional charge, will be at the Owner’s discretion.

I. There is a maximum numbers of guests for each property. 2 in the cabin and 4 in the cottage:

Only the number of persons specified on the booking confirmation may stay the night at each property. Friends or family are more than welcome to visit the property but are not allowed to stay/sleep the night at any time. We reserve the right to refuse admittance or terminate the booking at anytime booking conditions are not being met. No parties or events are permitted at the property at any time.

I.a The Owner reserves the right to take legal action against a guest for any loss, damage or injury caused to the owner, the Property or to other guests and/or their property.

I.b The Property is available for domestic and private use only. The guest agrees not to use the Property for any commercial or business purposes.

J. Bookings for groups who would hope to book the cabin and cottage for the same dates:

J.a Stag or hen party bookings are not permitted here at the farm.

J.b If the dates allow and a guest or guests would like to book both properties for the same dates then this must be done at the same time. All terms and conditions apply for these types of bookings and no part refund will be allowed if then one property is not needed and at any time after the booking is made.

K. The farm grounds and guidance during your stay at the cabin and/or cottage

K.a The vineyard area (800 vines and aisles), the meadows, the orchard and picnic area, the drive ways, the wildlife pond and picnic area, the firepit mound, the labyrinth of grassy paths and the kitchen garden are available for the use by both cabin and cottage guests for the whole time of the booking. We kindly ask that guests use these areas with kindness, in peace and keeping the noise to a minimum, are shared and used with responsibility. Please ensure that all gates are closed behind you once used.

K.b The use of all areas on the farm and the interiors of each property are used entirely at the guests own risk. No responsibility for losses, injury or death can be made towards  the owners due to the use of these areas on the farm and guests must apply all sensibilities at all times.

K.c The bee hives in the apiary at the west side of the farm should not be approached at any time and no one should go within 40 feet of the hives at anytime. All dogs must be kept on lead whilst on the farm. There is a risk if any guest contravenes these rules so the owners bear no responsibilities for losses, injury or death.

K.d The wildlife pond has very deep areas and should not be entered. No swimming is permitted by anyone or dogs. The owner bear no responsibility for losses, injury or death if a guest or guests chose to enter the wildlife pond at any time.

K.e The are wildlife (all living organisms of any species, sizes and types) species which live on, fly over and pass through the farm at all times of the year. The owners bear no responsibilities for loss, injury or death due to anything caused by the wildlife on the farm.

K.f The barn (gates locked) and the area behind the barn (called Barn yard with closed black gates), the fenced paddock to the main farm house and area in front of the main farm house are areas which are private. No guest is permitted to enter these areas at anytime during their stay. The private garden to the cabin and parking area next to the cabin is for the use by the cabin guests only. The private garden to the cottage and parking area next to the cottage is for the use by the cottage guests only.

L. Pricing

L.a  We the owners reserve the right to change any advertised prices at any time and at any occasion. On the rare occasions where errors occur, we reserve the rights to decide on the pricings which we make at any point and for any reasons. When you booking is made then a email booking confirmation. If any price or quote in any confirmation from the website, any outside or own website advertising or by other booking systems is incorrect then we will be able to deem this as not valid. Once the correct pricing for your break is made then the booking can be agreed and made.

L.b All prices on the website are pre-determined and are in British sterling. Please be aware that if you are booking using a different currency then this is subject t change at anytime due to the currency markets and this means the cost of your holiday may alter and could cost more.

M. Accuracy of information on this website can change at anytime

All information shown can change at anytime and without notice.

Photographs can change and be updated and anytime and without notice.

Terms and conditions can be altered at anytime and without notice. 

Any relevant information that is altered and means a guest might need to know will be given but not guaranteed. As owners we reserve the right to makes changes where needed without consent or need for information to be sent to a booked guest.

O. Jurisdiction, governing Law and validity clause

O.a All these terms and conditions are made in accordance with and are governed by English law and the courts of England and Wales have exclusive jurisdiction in relation to any and all disputes arising out of these owners terms and conditions.

O.b In the event that a court finds that a condition in these terms and conditions is void, the void provision will be removed from the remainder of the terms and conditions, which will continue to be valid and have full force and effect.

P. Events beyond the control of the owner’s control

If we as the owner is prevented or delayed from complying with any of their respective obligations under these terms and conditions or a contract for a booking due to events or circumstances beyond their reasonable control, the inability or delay in performing those obligations will not be treated as a breach of these terms and conditions or a contract for a booking. Examples include flooding of the property or farm areas or part of, fire to the properties, farm land or areas, flood of surrounding roads or by-ways, other  acts deemed to be of God, strikes made by agencies or travel operators, trade union or the alike disputes, rioting or public disorder and/or civil commotion of any types, accidents or any types, disruption to energy supplies from electricity, gas or equivalents, acts of terrorism and/or war, epidemics by any type, pandemic by any types (including Covid-19), environmental disaster of any types, any national/local/regional government restrictions.
